Stratagic Microsoft Teams Chatbot – Terms of Use

Provider: Stratagic Pty Ltd (ACN 680 641 007) (“Stratagic”, “we”, “us”, or “our”)

These Terms of Use govern your access to and use of the Stratagic chatbot (the “Chatbot”) made available via Microsoft Teams. By interacting with or deploying the Chatbot, you (“you” or “the User”) agree to be bound by these Terms.

If you do not agree to these Terms, you must not use the Chatbot.


1. About the Chatbot

The Chatbot is an automated assistant built and maintained by Stratagic to streamline communication, automate processes, and provide information relevant to strata and property management. It is integrated with Microsoft Teams and may include custom features, such as:

  • Answering frequently asked questions;
  • Collecting information or requests;
  • Automating simple workflows;
  • Interacting with files (e.g. summarising quotes).

The Chatbot is not a human and does not replace professional advice or decision-making.


2. Eligibility and Access

You may use the Chatbot only if:

  • You are authorised by your organisation or strata company to do so;
  • Your organisation has a valid agreement with Stratagic or its authorised reseller;
  • You access the Chatbot through a licensed Microsoft Teams account.

Access may be suspended or terminated at any time if misuse is suspected or terms are breached.


3. Permitted Use

You agree to use the Chatbot only for lawful, authorised, and intended purposes. You must not:

  • Attempt to reverse-engineer, copy, or tamper with the Chatbot or its underlying systems;
  • Use the Chatbot to distribute spam, malware, or offensive content;
  • Upload files or submit content that contains personal or sensitive information unless necessary for the service being used;
  • Misrepresent your identity or impersonate another user.

4. User Data and Privacy

By using the Chatbot, you acknowledge and agree that:

  • The Chatbot may log interactions, store submitted information, and process uploaded files;
  • Any data submitted may be stored temporarily or permanently in secure cloud infrastructure (e.g. Microsoft Azure);
  • Stratagic may access interaction data for support, quality assurance, analytics, and feature improvement;
  • All data will be handled in accordance with Stratagic’s Privacy Policy.

You must not share or upload personal or sensitive information unless required for the function of the Chatbot.


5. AI Limitations

The Chatbot may use artificial intelligence or natural language processing to generate responses. While we aim for accuracy, Stratagic makes no warranties that responses are correct, complete, or suitable for reliance. You:

  • Acknowledge the Chatbot is a tool and not a substitute for professional advice;
  • Should verify critical or legal information through appropriate channels.

6. Service Availability

We will make reasonable efforts to ensure the Chatbot is available and functioning, but do not guarantee uninterrupted access. Features may change, be removed, or temporarily suspended without notice.


7. Ownership and Intellectual Property

All intellectual property in the Chatbot, including its content, code, and responses (excluding user input), is owned or licensed by Stratagic. You are granted a non-exclusive, non-transferable right to use the Chatbot for internal purposes only.

You may not modify, replicate, or use any part of the Chatbot for commercial purposes without our written consent.


8. Security and Conduct

You are responsible for:

  • Keeping your Microsoft Teams credentials secure;
  • Ensuring only authorised users interact with the Chatbot;
  • Reporting any suspicious activity or suspected data breaches immediately to Stratagic.

We reserve the right to restrict or revoke access in the event of misuse or security risks.


9. Third-Party Services

The Chatbot may integrate with Microsoft Teams, Microsoft Azure, and other third-party services. Use of these services is subject to their respective terms and conditions. Stratagic is not responsible for the functionality, availability, or privacy practices of those third-party platforms.


10. Disclaimer and Limitation of Liability

To the maximum extent permitted by law:

  • The Chatbot is provided “as is” without warranty of any kind;
  • Stratagic is not liable for any indirect, incidental, special, or consequential loss or damage;
  • Your sole remedy for dissatisfaction is to discontinue use.

If liability cannot be excluded but can be limited, Stratagic’s total liability is limited to $100 or the amount paid for the service, whichever is greater.


11. Modifications

We may update these Terms from time to time. Continued use of the Chatbot after changes indicates acceptance. The latest version will always be made available via our website or on request.


12. Governing Law

These Terms are governed by the laws of New South Wales, Australia. Any disputes arising from these Terms or your use of the Chatbot will be subject to the non-exclusive jurisdiction of the courts in that jurisdiction.
